Verify Your Client's Coverage

Before providing services, ask your client to call their insurance and ask: "Does my plan cover out-of-network holistic health / wellness services?" Key questions:

  • Do they have out-of-network benefits?
  • What is the out-of-network deductible?
  • What percentage is reimbursed after deductible?
  • Do they need a referral or prior authorization?

Generate & Provide Superbill

After each session, generate a superbill with the client's info, service codes, and fees. Give the PDF to your client — they submit it to their insurer for reimbursement.

Include a Letter of Medical Necessity (When Needed)

Some insurers require a letter of medical necessity. Use the Medical Necessity tab to generate one. This significantly increases approval rates for out-of-network claims.

Can holistic health practitioners bill insurance directly?
It depends on your licensure and state. Licensed practitioners (acupuncturists, licensed nutritionists, licensed counselors) can often get paneled with insurance companies. Board-certified holistic health practitioners without state licensure typically use the superbill/out-of-network reimbursement model, where the client pays upfront and submits for reimbursement.
Do I need an NPI number?
An NPI (National Provider Identifier) is required to bill insurance directly. For out-of-network superbills, it's not strictly required but having one adds credibility to your claims. You can apply for an NPI for free at nppes.cms.hhs.gov — it takes about 10 days to process.
Which insurers are most receptive to holistic health claims?
Generally: Aetna and Cigna tend to have broader alternative/complementary coverage. UnitedHealthcare has been expanding coverage. Blue Cross Blue Shield varies significantly by state. HSA/FSA administrators are almost always the easiest path. Many state employee health plans also cover holistic services.
What if a claim is denied?
First, review the denial reason. Common fixable reasons: missing diagnosis code, wrong CPT code, no letter of medical necessity. Clients can appeal — include a letter of medical necessity with the appeal. Many denials are overturned on first appeal. Track denial reasons in the Tracker tab to identify patterns.
Can my clients use their HSA/FSA for my services?
Yes, in most cases. IRS Publication 502 defines eligible medical expenses broadly. Services that treat or prevent a medical condition typically qualify. Your superbill serves as documentation. Clients should check with their HSA/FSA administrator, but holistic health services are increasingly accepted.
